01 Who We Are

Vihana Fashions LLP is a fashion event management and technology company founded in 2020 and based in Bengaluru, Karnataka, India. We produce Bridal Runway Week, manage a professional model roster, operate the Mystique Earth event platform, and run the Mystique Atelier and iGlam storefronts. We also publish mobile applications listed on Google Play (and, when available, the App Store). For everything described in this Privacy Policy, Vihana Fashions LLP acts as the Data Fiduciary under the DPDP Act, 2023.

02 Websites & Mobile Apps

This Privacy Policy applies to the Vihana Fashions website and to the mobile apps we operate. The apps may collect account, device and service data so they can do the job you opened them for:

• Mystique Earth (also called Mother; Google Play package com.mystiqueearth.mystiqueearth) — the organiser console for events, judging, crew and show operations.
• Mystique Talent (Google Play package com.mystiqueearth.talent) — portfolios, auditions, schedules and related talent tools for models, designers and choreographers.
• FIMS (Fashion Information Management System, Google Play package co.in.vihanafashions.fims), including the Designer Studio inside Mystique Earth — customer records, body measurements, costume and design catalogues, tailor assignment, and order / alteration tracking for ateliers, boutiques and designers.
• Style Matrix (Google Play package co.in.vihanafashions.cfims) — inventory and style-matrix tools for ateliers, published as a public download alongside FIMS.
• iGlam (Google Play package co.in.vihanafashions.iglam) — rebate, claims, wallet and payout tools for cosmetics and jewellery trade.

App stores (Google Play, and Apple when an iOS listing exists) also process data under their own policies when you download or review an app. We do not control those store accounts.

03 The Personal Data We Collect

We collect personal data only when you choose to give it to us, or when it is created by using a service you asked for:

• Contact and enquiry forms — your name, email address, phone number, city, and the message or enquiry details you submit.
• Account and profile data in our apps — name, login identifiers, role (for example model, designer, organiser, tailor or staff), and the profile fields you save.
• Audition and talent registrations — age, height, city, experience, and the photographs you upload. Photographs and measurements are collected only with your explicit consent as part of your application, and for minors only with a parent's or legal guardian's consent.
• Measurements — body and garment measurements you (or your atelier) enter so we can run auditions, fittings, tailoring, alterations or Style Matrix / FIMS orders. Typical fields include height, bust, waist, hips, shoulder and related tailor notes. We use them to deliver that service, not to build advertising profiles.
• Orders and purchases — your delivery name, address, phone number, the items ordered, and order status. Card, UPI and banking details are entered directly with our payment gateway (Razorpay) and never touch or rest on our servers.
• Photos and media you upload — portfolio stills, selfies, lookbook images and, where a flow asks for them, measurement or garment stills.
• WhatsApp communications — if you opt in to updates or write to us on WhatsApp, we process the number and messages you send there.
• Technical data — basic analytics such as browser or app version, device class, crash logs and pages or screens visited, used to keep the site and apps working, fast and secure. See our Cookie Policy.

04 Purposes & Lawful Basis

We process personal data on the basis of the consent you give at the point of collection, for these purposes:

• Processing event and audition registrations, and running selections and results.
• Operating Mystique Earth, Mystique Talent, FIMS, Style Matrix and iGlam so you can manage shows, talent, measurements, inventory, orders and rebates.
• Fulfilling orders placed through our storefronts and atelier tools, including delivery, alteration and support.
• Responding to enquiries, quotes, bookings and grievances.
• Sending updates about events, auditions and services you have asked to hear about — you can opt out at any time.
• Keeping the website and apps secure and improving how they work.

Where the DPDP Act permits processing for certain legitimate uses (for example, when you voluntarily provide data for a stated purpose, or where processing is required under law), we rely on those provisions. We do not use your data for any purpose you have not been told about.

05 Photography, Measurements & Media

Event photography and film. Bridal Runway Week and other Vihana Fashions events are photographed and filmed for promotional, archival and editorial use. By participating in or attending an event, you acknowledge that your image may be captured and used by Vihana Fashions on this website, our apps, social media and marketing materials. If you wish to opt out of promotional use, contact us in advance (or as soon as possible after the event) at [email protected]. We will honour reasonable opt-outs; we cannot always retract images already published by third-party press.

Talent and measurement photos. Photographs and measurement stills you upload for auditions, portfolios, FIMS or Style Matrix are used to assess fit, style, and the service you requested. We do not sell these images. Staff and, where needed, the designer or tailor fulfilling an order may see them. You may ask us to delete uploaded photos that are no longer needed for an active order or registration.

06 Where Your Data Is Stored

Our applications and databases are hosted in DigitalOcean data centers. Data moves between your browser or app and our servers over encrypted (HTTPS/TLS) connections, and access to production systems is restricted to authorised personnel on a need-to-know basis.

07 Sharing & Disclosure

We never sell or rent your personal data. We share it only with the parties needed to deliver what you asked for:

• Razorpay — our payment gateway, which processes your payment credentials under its own security certifications.
• Logistics and courier partners — who receive your name, delivery address and phone number solely to deliver your order.
• Event partners — such as designers, photographers and venues, only to the extent needed to run an event you have registered for.
• Atelier and show collaborators — designers, tailors or organisers who must see measurements, photos or order notes to complete a FIMS / Style Matrix job or a casting you joined.
• Cloud infrastructure — DigitalOcean hosts our applications; they process data as our processor under contract.
• Authorities — where disclosure is required by law or a lawful order.

08 Your Rights as a Data Principal

Under the DPDP Act, 2023 you have the right to:

• Access — a summary of the personal data we hold about you and how it has been processed.
• Correction and erasure — have inaccurate data corrected and data that is no longer needed erased.
• Withdraw consent — at any time, as easily as you gave it; we then stop the processing that rested on it.
• Grievance redressal — a readily available way to complain, described in our Grievance Redressal policy.
• Nominate — another person to exercise your rights in the event of death or incapacity.

09 Children's Data

Our website, apps and services are intended for adults. Where a minor (under 18) participates in an audition, show or workshop, we require the verifiable consent of a parent or legal guardian before processing the minor's data — including measurements and photographs. We do not knowingly undertake tracking, behavioural monitoring or targeted advertising directed at children.

10 Data Retention

We keep personal data only as long as it serves the purpose it was collected for, or as long as law requires — for example, order and invoice records are retained for the periods mandated by Indian tax and company law. Measurement and photo files tied to a completed order or an unsuccessful audition are erased when they are no longer needed. When you validly withdraw consent, data is erased from our systems and our processors are instructed to do the same.

11 Security & Breach Notification

We take reasonable security safeguards — encryption in transit, access controls, audit logging and periodic review — to prevent personal data breaches. In the event of a breach affecting your data, we will notify the Data Protection Board of India and the affected Data Principals in the form and manner the DPDP Act and its rules require.

12 Grievance Officer

The Grievance Officer is your named point of contact under the Consumer Protection (E-Commerce) Rules, 2020 and for Data Principal requests under the DPDP Act, 2023. Grievances are acknowledged within 48 hours and resolved within one month of receipt.
